This policy covers email sent and received at webbyfox.co.uk, and this page at email.webbyfox.co.uk. The main website has its own cookie policy.
Who we are
Webbyfox is a trading name of Yira Ltd, registered in England and Wales. For privacy questions, email hello@webbyfox.co.uk.
What we hold
When you write to us, or when we write to you, the message itself is the record. That usually includes:
- your name and email address, and anyone else on the message
- the subject and body, including files attached to it
- the time it was sent, and whether it was delivered, delayed, or bounced
- technical details the mail system needs, such as the sending server and message id
We do not buy address lists, and we do not sell the addresses we already have.
Why we use it
We use that information to reply to you, to send work you asked for, and to run the mailbox: blocking abuse, diagnosing a delivery failure, and keeping a copy of a conversation about a project. Where a message is part of a contract, we keep it so we can perform that contract. Other mail is kept because it is a legitimate part of running the studio. We only send marketing email to people who asked for it, and every one of those messages has a way to stop.
How long we keep it
Project correspondence is kept while the work is active and for as long as we may need it for the contract, a dispute, or a tax record. A one-off enquiry that does not become work is deleted when it is no longer needed. Mail logs used to diagnose delivery are kept for a shorter period than the messages themselves.
Who else sees it
People at Webbyfox who are dealing with the conversation can read it. The server that hosts the mailbox processes it so the message can be delivered. If a client’s own staff are copied on a message, they see it too. We do not pass the contents to advertisers.
Your choices
You can ask us what email we hold about you, ask for a correction, or ask us to delete it where we are not required to keep it. You can also object to how we use it, or complain to the Information Commissioner’s Office at ico.org.uk. Start with us at hello@webbyfox.co.uk and we will answer.
